We are looking for a self-driven and ambitious Senior Administrative Assistant to join our team! Reporting to the CHRO the incumbent will support the executive and the HR Leadership team with weekly meeting coordination and documentation. The incumbent will manage the CHRO’s calendar, draft communications, plan HR offsite meetings and events, and work with the office management team for broader GATX engagement events. The incumbent must be strong in communicating via phone and email ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner.
• Provide Administrative support for the CHRO and other members of the HR leadership team, and field queries from broader staff and employees. Book travel arrangements and submit and reconcile expense reports
Organize and coordinate events and programs that contribute to employee engagement (March Madness, summer outing, holiday party, sports teams, etc.)
•Draft HR communications and agendas; print, scan, e-mail, and distribute hard copies of documents; and assist in preparation of regularly scheduled reports. Draft agendas, book venues, source refreshments ahead of events in partnership with the Office Management staff; assist with creating employee badges and supporting new employees, if needed, during new hire orientation
• Organize, plan and execute HR meetings and company events based on staff members' and employees’ availability. Book travel arrangements and submit and reconcile expense reports
Education and/or Experience Required: Bachelors Degree preferred or 5+years of experience as an Administrative Assistant or event planner
Communication skills- written and verbal skills, project and time management, strong organizational skills, exceptional aptitude with Microsoft suite
